What To Consider When Hosting An Event
When South Florida event planners step into any given venue, they can expect to be met with a large number of logistical challenges. These challenges can be overcome with a bit of research and careful planning. When it comes to the AV rental equipment that will need to be acquired for any special event, three key factors need to be considered. First, you need to consider the size of the venue. Second, you should factor in the time of day for the event. Third, you should figure out the number of speakers/viewing screens that will be required for all to have a clear view of the AV elements interwoven throughout the event.
Size of Venue
Whether your event is in Boca Raton or Ft. Lauderdale, the size of the venue is of prime importance when it comes to ordering the right AV equipment for the occasion. For large or long venues, you will need to order extra long cables to connect all of your AV equipment. In addition, you may need to order additional sound system packages in order to ensure sound coverage for the entire space.
Time of Day
If your event is taking place in broad daylight hours, you may need to rent additional draping or other accessories in order to ensure that your rented projection screens can be seen by all without being bled out by the sunlight. If additional draping is not an option, you can rearrange your room to minimize glare and simply pull down whatever shades the venue itself can provide.
Speaker and Viewing Screens
Renting one Viewing Screen and a 2 speaker sound system will usually not suffice for larger crowds or awkwardly shaped venues and you would be wise to know both the total number of expected attendees and the spatial limitations imposed on you by the venue’s layout.
